Job Description:
The Role:
The position holder will ensure that the management of Gifts in Kind (GIK) is in compliance with FPMG (Food Programming Management Group) policies, GIK minimum standards, Supply chain policies and other international donor standards.
1. Key Responsibilities:
- Training and Database Management.
- Ensure standardized reporting tools are put in place and staff are trained in data base management, reporting formats and protocols.
- Maintain and update the NTS database and ensure training of new users.
- Ensure maintenance of minimum standards for the GIK implementation and management.
- Conduct periodic spot check to review physical inventory, stacking, ledger books and stack cards.
- Ensure proper documentation of all GIK activities to include packing lists, distribution plans, way bills, beneficiary lists and distribution lists.
2. Project management:
- Act as the liaison officer for related government line ministries and local authority in implementation of GIK activities.
- Maintain effective communication, reporting and tracking of GIK ensuring timely and accurate GIKs reporting.
- Maintain an updated GIK movement and track sheet.
- Maintain an updated Inventory for all GIK materials with updated distribution records.
- Support and facilitate GIK audit processes and ensure full implementation of audit recommendations.
3. Stores Management:
- Work closely with Supply chain department for effective stores monitoring and management of the GIK materials.
- Ensure GIK stores records are maintained in compliance with standard policies and procedures.
- Ensure dispatches are done in a timely manner and that stores records are regularly updated.
- Prepare monthly GIK MMR report.
Skills and Qualifications
- A Bachelor’s degree in community development, developmental studies, business administration, economics, computer science, information technology or any other related field.
- A minim of 3 years working experience in a similar position or function.
- Experience in logistics and warehouse management will be an added advantage.
- Should demonstrate good computer skills especially working with Excel.
- Should be well organized, attention to details with good problem-solving skills.
- A team player with good management/supervision skills.
- Good capacity building experience.
- Demonstrates well-developed interpersonal skills, excellent communication skills, both verbal and written, as well as negotiation skills.
- Ability to learn new software systems and implementing basic system upgrades
